UmrahAgents's Exact Verification Process — Step by Step

Every operator who applies for listing on UmrahAgents passes through the same verification pipeline before the Verified badge is assigned. The pipeline has five stages. No stage is skipped. Operators who do not pass all five stages are listed without the Verified badge or are not listed at all.

Submission
Operator Submits Registration Documentation
The operator completes the UmrahAgents listing form and attaches documentary evidence of their government-issued licence. For Hajj operators, this is the current-season HGO registration certificate from the Ministry of Minority Affairs. For Umrah operators, this is the Nusuk External Agent certificate or the name and licence number of their Saudi partner company. All operators also submit their GST registration certificate. Documents must be dated within the current operating season — previous-season documents are not accepted.

We Extract the Legal Registered Name
Our team extracts the exact legal name from the submitted document — the name as registered with the Ministry of Minority Affairs or the Saudi Ministry of Hajj and Umrah. We do not use the operator's brand name, trading name, or the name on their website. This legal name is the search term used in every official database check that follows.

We Cross-Check Against the Official Government Source
This is the core verification step. For each operator type, we access the following official sources directly:

Hajj operators: We search the operator's legal name and registration number in the Ministry of Minority Affairs HGO circular published at haj.gov.in and confirm registration status on the HGO portal at pto.haj.gov.in. We also confirm the operator's assigned embarkation point is present in the document.

Umrah operators: We search the Saudi partner company's name or licence number on masar.nusuk.sa under "Inquiry About Licensed Umrah Companies" and confirm the licence status shows as Active. If the operator is also listed as a Qualified External Agent, we confirm this under "Inquiry About Qualified External Agents."

Both types: We verify the GSTIN on gst.gov.in and confirm it is Active with the legal name matching the submitted certificate.

We Record the Evidence, Source, and Date
On successful confirmation, our team records the following in the operator's directory profile: evidence type (which document was submitted), official source confirmed (which database confirmed it), last-checked date (today's date), and evidence expiry (the date the submitted document expires or the date the HGO list is next expected to be updated). This record drives the automated re-verification schedule.

Badge Assignment
Verified Badge Is Assigned to the Profile
After all four preceding stages are completed and the official source confirms an active registration, the Verified badge is assigned to the operator's profile page. The badge remains active until the evidence expiry date triggers a re-verification notice, or until a user report or our own audit finds a discrepancy that requires review.

Why We Check Both Indian and Saudi Sources for Umrah

An Indian agency that operates without a Nusuk-linked Saudi partner cannot legally supply Umrah visas — because Umrah permits originate from the Saudi Ministry of Hajj and Umrah, not from India. Checking only Indian business registration for a Umrah operator would confirm domestic legality but not pilgrimage-specific service authority. Both sources are checked because both are necessary conditions for legitimate Umrah operation.

How We Track Licence Expiry and the "Last Checked" Date

The phrase "last checked" on an operator profile refers to the calendar date on which a member of the UmrahAgents verification team confirmed the operator's registration status against the named official source. It is not the date the operator submitted their documents, and it is not the date the licence was issued. It is the date we independently confirmed the registration was active.

Badge States and What They Mean
✓ Verified — Active
Official source confirmed registration as Active within the last 12 months (or within the current Hajj season for HGO operators). The evidence expiry date is more than 60 days away.
⚠ Verified — Renewal Pending
The operator's licence expiry date falls within 60 days. A re-submission notice has been sent to the operator. The badge remains active while the operator is within the 60-day grace window and has acknowledged the re-submission request.
✕ Unverified — Badge Removed
The licence expiry date has passed and the operator has not submitted updated documentation within 30 days of expiry, or the official source check returned an Inactive or Not Found result. The badge is removed. The last-checked date and evidence type remain visible on the profile for historical transparency.

Re-Verification Triggers

Re-verification is triggered by three conditions — whichever occurs first:

  1. Scheduled review: The calendar trigger based on the evidence expiry date recorded at the time of verification — annually for Hajj HGO operators when the Ministry publishes the new season's list, every 12 months for Umrah operators.
  2. Nusuk licence expiry alert: When a Saudi partner company's Nusuk licence expiry date recorded in our system falls within 60 days, we conduct an early check and notify the Indian operator of the approaching renewal requirement.
  3. User report: When a pilgrim submits a "Report This Listing" notice with a specific verification concern. All reports are reviewed within 5 business days. If the concern is substantiated on the official source, the badge is removed immediately pending operator resubmission.

What Operators Must Submit to Receive the Verified Badge

Operators who wish to be listed with the Verified badge on UmrahAgents submit their documentation through the List Your Agency page. The submission requirements differ by operator type:

The integrity of the Verified badge depends on a reliable dispute mechanism. Pilgrims who believe an operator's badge is inaccurate — because the operator is no longer found in an official source, or because the last-checked date appears outdated — can submit a report. The report is treated as a re-verification trigger.

The report form on every operator profile accepts: the specific concern, the official source the pilgrim checked, the result they found (e.g., "HGO not found in Ministry circular"), and any screenshot evidence. Reports without a specific, verifiable concern are not acted upon.

Our team accesses the named official source independently — not based on the report alone — and confirms the current registration status. The outcome is determined entirely by what the official source shows on the date of the re-check.

If the official source confirms the concern (inactive licence, name not found, licence expired), the badge is removed immediately. The operator is notified and invited to resubmit updated documentation. The last-checked date is updated to reflect the date of the re-check, and the profile is marked Unverified until resubmission is approved.
